What we keep about you, what is public, and how to change it. Plain English, no small print.

Who runs the 84th

The 84th is a free fan community for WARDOGS, run by Jamie Hayward in the UK. Jamie is responsible for the personal information described here (the "controller" under UK data protection law). Our staff help run the Discord and can see some of it to do that.

To ask about your data, DM the 84th Quartermaster bot in Discord (it goes straight to staff) or email jamie@jbhmedia.co.uk.

What we hold, and why

Your Discord account. When you sign in to this website, Discord shares your user ID, display name and avatar with us. We never see your password or email address. We use it to show your rank and profile and to let you manage your own settings.

Your activity in our Discord. The Quartermaster bot keeps your XP, rank, badges, invites you have sent and who joined through them, event sign-ups, clip of the week entries and wins, and any giveaways you entered. That is what runs the ranks, rewards and leaderboard.

Your profile, if you fill it in. Playstyle, region, usual play times, a short bio and saved loadouts. You choose what goes in and whether it is shown.

Steam, only if you link it. Your public Steam ID, Steam name and WARDOGS hours. You can unlink it from your members area at any time.

In-game stats from WARDOGS Tracker, a community site we are not part of, looked up from your linked account so they can appear on your profile and the leaderboard.

Things you send us. Messages you DM to the bot, staff applications, ban appeals and reports, so staff can deal with them.

Moderation records. Warnings, timeouts and bans, kept so the server stays safe and decisions are consistent.

Ko-fi support. If you support us on Ko-fi, Ko-fi tells us your name or Discord username, the amount and your tier, so the bot can give you your role. Ko-fi handles the payment, and we never see your card details.

Questions to the AI helper. If you ask the bot a question, the question is sent to Anthropic, who provide the AI model, to get an answer.

Our lawful basis

We rely on legitimate interests: running a community you have chosen to join, keeping it safe, and giving you the features you use. Where something only happens because you switched it on, such as linking Steam or filling in your profile, we rely on that choice, and you can undo it at any time.

What is public

The leaderboard at 84wardogs.com/leaderboard shows members of our Discord with their display name, avatar, XP, rank, badges and playstyle, plus Steam and in-game stats for anyone who has linked them. Member profile pages and the members directory show what you have added to your profile.

You can leave the leaderboard from your members area at 84wardogs.com/me ("Leave me off the public leaderboard"), and hide your profile and directory listing there too. If you would rather not sign in, DM the bot and staff will do it for you.

Who else handles it

Discord (where the community lives), OVHcloud (hosts the bot and this website on a server we manage), Ko-fi (support payments), Anthropic (the AI helper), Steam and WARDOGS Tracker (only for the stats you link). Discord, Ko-fi, Anthropic and Steam are based in, or use servers in, the United States, so some data is handled there under their own safeguards. We do not sell anything to anyone.

How long we keep it

Your XP, rank and profile are kept while you are in the community. If you leave the Discord you drop off the leaderboard straight away, and you can ask us to delete the rest. Website sign-ins end after 90 days without use. Backups of the bot's data are kept for 14 days. Moderation records are kept for as long as they are needed to keep the server safe.

Cookies and storage

We do not use advertising, analytics or tracking cookies. Signing in sets one cookie on api.84wardogs.com that keeps you signed in; we only store a scrambled copy of it. The site also saves a few settings in your own browser (for example, that you are signed in, or your artillery map and unlock tracker settings) so they are there next time. None of this is shared with anyone.

Age

You need to be at least 13 to use Discord, and so to join the 84th. If you are under 18, please check with a parent or guardian before linking accounts or sharing anything about yourself on your profile.

Your rights

You can ask for a copy of the information we hold about you, ask us to correct or delete it, object to how we use it, or ask us to restrict it. DM the bot or email jamie@jbhmedia.co.uk and we will reply within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to sort it out first.

Changes

We will update this page if anything changes. It was last updated on 24 October 2026.
